Wix forms: stop losing contact requests from your website

A contact form that never surfaces anything is a front door closed without you knowing it. When we take over Wix sites, we regularly find dozens of enquiries that were never read, went to spam or were left unanswered.


Here is what we see, why it happens, and the settings to adjust this week so that every enquiry lands in the right place and gets a reply.


What we find when we take over a Wix site


When a client hands us the administration of their site, one of our first checks is to open the Wix Inbox and the list of form submissions. The result is rarely flattering. In our takeovers, it is common to find between 10 and 40 contact requests from the last six months that never got an answer.


The causes are almost always the same. The email notification was never set up, or it goes to an address nobody reads anymore. When it does arrive, it lands in spam because the owner's mailbox does not recognise the sender.


The form asks for seven fields, four of them useless, and part of the visitors give up halfway. Finally, no auto-reply confirms to the visitor that the request went through, so they send an email elsewhere, or they call a competitor.


A concrete example: a craftsman we work with thought his site generated "no contacts at all". When we opened his Wix Inbox, we found 23 quote requests in five months, several of them for jobs worth more than 3,000 euros. None had been read. The form worked perfectly. It was the chain behind it that was broken.


Notifications: the first link to break


Every submission of a Wix form is stored in the site dashboard and in the Wix Inbox, and can trigger a notification email. That email is the only thing most owners look at, and it is precisely the part that fails. Three checks to run, in this order.


First, which address receives the notification? In the form settings you can define one or several recipients. We always recommend two: the person who replies, and a backup address (the partner, the assistant, or a shared address checked every day). One address means one single point of failure.


Second, does the notification reach the main inbox? Wix notification emails are sent from Wix technical addresses. On Gmail, Outlook or a hosting provider's mailbox, they sometimes end up in junk or in the "Promotions" tab.


The test is simple: send yourself an enquiry from the site and look where it lands. If it ends up in spam, add the sender to your contacts and create a rule that marks these messages as important. Five minutes, and the problem is gone.


Third, have you installed the Wix mobile app? It shows new enquiries as push notifications on your phone and lets you reply straight from the inbox, even on the move. For a freelancer or a shop owner, it is often the most reliable option, because it does not depend on your mailbox's spam filter.


Extra fields, fewer enquiries


A contact form is not a questionnaire. Every additional field lowers the number of people who make it to the end. In our projects, a three-field form (name, email, message) converts noticeably better than a seven-field form that asks for the postal address, the budget and the company name before the first exchange has even happened.


Ask one question per field: do I need this information to reply? The phone number is useful if you call prospects back, otherwise it is a brake. Title and date of birth have no place there. A dropdown "Reason for your request" (quote, information, after-sales) is a good idea though: it helps you sort without costing the visitor anything.


Two details that matter too. The submit button should say what will happen ("Request a quote", "Send my enquiry") rather than a plain "Submit". And the message displayed after sending should reassure: "Thank you, we reply within one working day." It is the last thing the visitor reads, and it is what they remember.


Reply automatically, then for real


The auto-reply is the most neglected setting and one of the most profitable. With Wix Automations, you create in a few minutes a rule "when a form is submitted, send an email to the visitor". The content fits in three lines: thank you, here is our response time, here is a phone number if it is urgent.


The visitor knows the request has arrived, and waits instead of looking elsewhere.


That same automation can do more. It can add a "Lead" label to the contact created in your Wix CRM, create a follow-up task for you, or send a second notification to a colleague when the "Reason" field says "Quote".


We regularly set up this kind of rule for firms and shops: following up enquiries becomes a task list instead of a pile of emails.


Then comes the human reply. Set yourself a simple rule and stick to it: every enquiry gets a first answer within the working day, even if it is just "I will get back to you on Thursday". The Wix Inbox lets you mark a conversation as handled, which saves you from re-reading the same message twenty times.


A ten-minute weekly check is enough to make sure nothing is sleeping.


Where to start


  1. Send yourself a test enquiry from every form on the site and check where the notification lands: main inbox, spam, or nowhere. Fix the recipient address and add a second recipient.

  2. Open the Wix Inbox and the list of form submissions, and deal with everything still pending. Even a late reply beats silence.

  3. Remove the fields you do not need in order to reply, and make optional everything that is not essential. Rewrite the button and the confirmation message.

  4. Create an automation that sends an auto-reply to the visitor and labels the contact in your Wix CRM.

  5. Install the Wix mobile app, turn on notifications, and block ten minutes a week to check that no enquiry is waiting.


What we take away


A Wix form does not lose enquiries on its own. It is the settings around it (recipients, spam filters, useless fields, no auto-reply and no follow-up) that make contacts disappear. All of it can be fixed in an hour, without a developer, and the difference shows the following month in the number of quotes you send out.
